New IT-system


Pon Power B.V. is switching to a new IT system called NAXT. On this page you can read why we are doing this and what this means for you.

New IT system

 

We are pleased to inform you that Pon Power is switching to a new IT system, so that we are completely ready for the future and can serve you even better. This new system supports all our internal business processes, from order processing to distribution and the entire financial settlement, but also the work processes and communication with you as our customer. We will switch to our new system during the weekend of May 5-8, 2023. 

 


What is the impact for you as a customer?

 

The transition to our new IT system may have an impact on Pon Power's accessibility and delivery times. We are doing everything possible to ensure that you, as our customer, will experience as little inconvenience as possible. Unfortunately, we cannot entirely prevent some inconvenience. We will ensure that we can be of service to you again as soon as possible without disruption. Here are the major changes you can expect:

 

PARTS 
 

  • No quotations from April 27 to May 12; At the time of the transition to the new system, it will temporarily not be possible to issue quotations for parts. 
  • No orders for parts sales from April 25 to May 12; At the time of the transition to the new system, it will temporarily not be possible to place orders or pick up parts . Also orders through our online ordering system Parts.cat.com will not be possible. For emergencies we are of course available and will find a solution to support you as best as possible. 
  • No deliveries of parts from April 27 to May 12; At the time of the transition to the new system it will not be possible to deliver parts.   
  • Parts returns; For a period from April 15 to May 28, we unfortunately cannot process parts returns as quickly as usual. We aim to fix this as soon as possible. Should you have a request please contact your account manager to see what we can do for you. 

 

SERVICE 
 

  • Less preventive & corrective maintenance from April 27 to May 12; At the time of the transition to the new system, we will be able to schedule and perform less maintenance. For emergencies during this period, we recommend that you contact your contact person at Pon Power. 
  • No parts or service quotes from April 27 to May 12; During the transition, it will temporarily not be possible to issue quotes for parts and it may take longer for you to receive a requested service quote. 
  • Service Contracts; If you have signed a service contract for your installation, it is possible that you will receive the invoice for your service contract later than you are used to from us. The invoiced amount may be higher as a result because the billed period is longer. 
  • Service billing; You may receive two invoices for work on your installation after the transition. One invoice from our old system and one invoice from our new system. These two invoices together make up the total amount and will be sent simultaneously as much as possible. You can pay both invoices (with two different invoice numbers) in the usual way.  
  • Partial deliveries of parts for service orders; as of April 15 we will deliver as many complete parts as possible for service orders. Should the parts not be complete by April 25, we will store the already available parts in our warehouse and only be able to deliver them as a complete delivery after May 28 (as soon as all parts have arrived). 

 

OTHER 
 

  • New customer number; Your old customer number (consisting of 7 characters) will be replaced by a new customer number (10 characters). 
  • New layout; A new system also includes a new layout. All our outgoing documents will change, such as order forms, invoices and order confirmations. See bottom of this page for some example documents.
  • No parts or service quotes from April 27 to May 12; During the transition, it will temporarily not be possible to issue quotes for parts and it may take longer for you to receive a requested service quote. 
     

 

What is the impact for you as a supplier?

 

The transition to our new IT system may impact Pon Power's accessibility and delivery times. We ask for your patience because payments of incoming invoices may possibly take longer than you are used to from us. Here are the main changes you can expect:
 

  • PO number; It is important to include the correct PO number (beginning with PO and 8 digits) on your invoice. If a PO number is missing, your invoice will not be processed. 
  • New supplier number; Your old supplier number (consisting of 8 characters) will be replaced with a new supplier number (consisting of 10 characters).  
  • New Layout; A new system also includes a new layout. All our outgoing documents will change such as credit notes or invoices.  
  • Invoicing; You can still send in your invoices to the mail address [email protected]
  • Accounts Payable; For correspondence with accounts payable, please email: [email protected]
  • Parts deliveries; Our warehouse in Almere cannot receive deliveries from April 25 to May 9.
